Executive Assistant/Reception/Office Coordinator -- Global Executive Search Firm

In addition to providing administrative support to one new consultant in the Education/Non-Profit Practice, this role will also provide Reception and office services support in the Annex location (15-person office that will grow over time). Duties will include managing the conference room(s), inventory, front desk reception, coordinating IT for conference calls, videoconferences, etc. This role can grow into either a full EA position or into office services over time.
The Executive Assistant (EA) is an integral member of the search execution team, acting as project manager to ensure the success of each assignment. The EA serves as the key contact with clients and candidates, schedules interviews, arranges consultant and candidate travel, ensures all due diligence has been conducted on candidates, reviews results, and flags issues. The EA performs administrative functions, as necessary, to assist the recruiting team, and oversees and ensures the accuracy of all client deliverables and candidate records. Five or more years of executive administrative assistant experience in a professional services or corporate environment. The ability to effectively solve problems and overcome challenges while consistently providing high-quality work is of utmost importance. The EA is proficient in all Microsoft applications and experienced at proofreading and editing documentation. Mature-minded, professional, articulate, highly productive, able to work fast, smart, with attention to detail. Strong written/verbal communication.
Requirements: Candidates must have strong MSWord, PowerPoint, Excel, and Outlook testing in the high 80’s/low 90’s, typing 68+wpm, and exceptionally strong proofreading and editing skills. Hours/benefits: 8:30-5:00 or 9:00-5:30; available for OT; non-exempt; salary based on a 37.5 hour work week – all OT is paid. 100% paid health, dental, vision for employee and family (if there is no other insurance source); 401K, profit-sharing with 9% contribution, transit check, discretionary bonus potential.
