Administrative Assistant to the Office Management, Midtown Global Hedge Fund

$$ base salary open depending on experience, plus bonus eligible
Duties include: Heavy calendar management to provide cross functional coverage for Director of Administration and Facilities Manager, including coordination of complex external meetings; Coordination of day-to-day office matters including interacting with employees at all seniority levels: Answering phones, taking detailed messages and triaging requests within the team; Setting up conference calls, both internally and externally; preparing meeting materials; Assist with firm wide event planning; Contract negotiations and expense processing; Supporting budget and bookkeeping procedures; Researching vendors and providing comparative outline of products/services; Maintaining department procedures and databases including internal Wiki page: New hire orientation and on boarding/off boarding procedures for all employees; Assisting with implementation of projects/ initiatives that impact the assistant population, and/or the firm; General administrative duties such as scanning, filing, FedEx, etc.
Requirements: Bachelor’s degree required; 2+ years of experience as an administrative assistant in a team setting; Self-starter with experience in administrative support in a fast-paced and/or finance environment preferred; Highly organized with strong attention to detail and exceptional foresight, and ability to anticipate the team’s needs; Professional demeanor; discreet; ability to maintain composure in a high-volume environment
