$60K; non-exempt + bonus + equity once perm
Temp to Perm - Administrative Assistant to CFO/COO - Report to Senior EA
Manage the daily operations of the CFO/COO while working on the executive floor and reporting to the Senior EA. This position requires strong organizational skills, a proactive nature, resourcefulness, and creative problem-solving skills with a willingness to go the extra mile to solve any issue.
Responsibilities
- Provide all administrative support; prioritize and delegate to meet strict deadlines.
- Coordinate and manage the executive's heavy calendar.
- Responsible for a system of follow-up on all outstanding internal and external scheduling and miscellaneous issues.
- Determine the importance of meeting requests and schedule accordingly. Handle scheduling of board meetings and foresee changes.
- Oversee arrangements of travel and other accommodations, including comprehensive and detailed itineraries. The firm has several business jets, so virtually all travel is via private jet.
- Handle a heavy volume of incoming and outgoing calls, emails, and mail.
- Act as liaison with all internal and external offices.
- Handle all accounts payable & expense report requests.
- Coordinate meetings and events and organize materials for participants.
- Courteously greet visitors and direct them to the appropriate office/conference room.
- Interact with and direct divisional contacts and vendors.
- Provide updates and comprehensive information to executives as needed.
- Produce general correspondences. Photocopy and fax information as needed or requested.
- Maintain accurate databases electronically and paper copies to include address books, files, and general contacts.
- Adding to and maintaining the cloud-based system that tracks the group's efforts with target companies (CRM).
Job Requirements
Requirements
- Bachelor’s degree required; 1+ year of corporate experience
- Fluency in Microsoft Office suite (Outlook, Word, PowerPoint, Excel).
- Communication skills must be stellar; ability to interact with individuals at all levels of the organization.
- Ability to work in a fast-paced environment with demonstrated ability to multi-task and juggle multiple competing tasks and demands. Need high energy and assertive nature.
- Work requires continual attention to detail in composing, typing, and proofing materials, establishing priorities, and meeting deadlines.
Additional Information
Hours: 8:30-5:30pm/6pm with a target Monday-Friday in office to start, more flexibility once established.
