Job Description
A very well-known design firm we work with is looking for an experienced Billing Specialist in a temp to perm capacity:
Responsibilities (including but not limited to):
- Set up and maintain new contracts and billing information in billing/accounting system
- Attend internal Project Kick-off meetings with Project Team to lock budgets and understand contract
- Work closely with internal team to ensure monthly billing is processed, meet tight deadlines and quotas
- Calculate and submit invoices to clients in a routine and timely manner. Respond to queries in a timely manner.
- Ensure accuracy of data
- Communicate with Project Managers to ensure they have discussed new invoices with clients
- Respond to internal and external communications promptly and process requests
- Manage payment due dates and ensure that clients are duly reminded of such deadlines
- Identify clients who have outstanding payables and follow up
- Call or send out collection notices as needed
- Ensure receipts of payment are processed timely and accurately
- Enter project-related vendor invoices into billing/accounting system. Track client payments and submit requisitions for vendor payments.
- Attend weekly meetings with staff for progress updates
- Attend monthly meetings with management to report on A/R
Job Requirements
Requirements:
- Minimum 2-3 years overall experience in billing or related field
- Self-starter, excels at managing multiple responsibilities in tandem and shifting priorities as required
- Excellent interpersonal relations and a team-player
- Excellent communication and email etiquette
- Analytical thinking, detail oriented, and flexible with changes
- Proven ability to meet deadlines while maintaining a high level of accuracy
- Strong mathematics and administrative skills
- Integrity and trustworthiness
- Working knowledge of accounting systems
- Must be highly organized
- Experience in the architecture/interior design industry highly preferred
- Microsoft Office Suite with proficiency in Microsoft Excel
- This role may require responding to phone calls or e-mails outside of typical business hours from time to time. Boundaries that are made clear at time of hiring will be respected.
- Knowledge of billing systems (you will be provided training): Ajera and Studio Designer
** hybrid role- 1-2 days in office per week
