Donor Processing Assistant
Job Description
The Gift Processing Assistant will be responsible for processing and acknowledging donor gifts and contributions. This role involves handling financial transactions, maintaining accurate records, and ensuring timely and accurate communication with donors. The ideal candidate will be detail-oriented, efficient, and able to work collaboratively to support our fundraising and donor relations efforts.
Key Responsibilities:

Gift Processing:
- Receive, record, and process donor gifts, including cash, checks, credit card donations, and in-kind contributions.
- Verify and reconcile gift information to ensure accuracy and completeness.
- Enter donation data into the CRM system or donation database, ensuring timely updates and accurate records.

Acknowledgment and Stewardship:
- Generate and send personalized acknowledgment letters and receipts to donors in a timely manner.
- Maintain a system for tracking and following up on donor acknowledgments.
- Assist in preparing thank-you notes and other correspondence to recognize and appreciate donor contributions.

Record Keeping and Reporting:
- Maintain organized and up-to-date records of all donations and donor information.
- Assist in generating reports on gift activity, donor trends, and fundraising performance as needed.
- Ensure compliance with data protection regulations and organizational policies regarding donor information.

Collaboration and Support:
- Work closely with the Development and Finance teams to support fundraising activities and financial reporting.
- Provide administrative support for donor-related events and campaigns as needed.
- Respond to donor inquiries related to gift processing and acknowledgment in a professional and courteous manner.
Job Requirements
Qualifications:
- High school diploma or equivalent; some college coursework or a degree in Business Administration, Nonprofit Management, or a related field is preferred.
- Proven experience in gift processing, financial transactions, or administrative support, ideally in a non-profit setting.
- Proficiency in data entry and experience with CRM systems (e.g., Salesforce, Raiser’s Edge) is highly desirable.
- Strong attention to detail and accuracy, with excellent organizational and time management skills.
- Effective communication skills, both written and verbal, with the ability to interact professionally with donors and staff.
