Function as lead on all scheduling to ensure CEO’s time is aligned with her priorities: Partner with the Chief of Staff (COS is in the CA office) to develop and maintain the travel calendar; manage day to day internal and external scheduling across multiple time-zones, update the necessary teams and staff about development meetings and travel plan and answering questions; Manage scheduling of three annual Board of Directors meetings, Governance & Human Capital Committee meetings, and Strategy and Education Committee meetings and logistics; creating day-of action plans, venue research, liaising with those coordinating the visit to ensure an effective schedule and trip preparation materials; if travel changes, which could include limited support on evenings and weekends when CEO is traveling; administrative projects such as contract processing / sending thank you gifts / mass mailings, assisting CEO when she is in the office (reserving conference rooms, working with IT on technology issues, printing, ordering lunch, setting up video conference calls, greeting guests etc.), coordinating holiday card mailing, coordinating logistics of virtual meetings, maintaining central organizational calendar; ordering office supplies, and managing written correspondence that requires the CEO’s signature and other ad-hoc projects
Requirements: Experience working with a senior leader or CEO strongly preferred; 5 years + admin experience; experience managing scheduling, complex global travel; email-intensive/highly responsive administrative work strongly preferred; can work in fast-faced organization; positive, high energy, polished; detail oriented; proactive, anticipate problems, self-motivated; strong interest and understanding of the non-profit’s global mission for better education for all.
