Executive Assistant
Job Description
Overview: We are seeking a highly organized and proactive Executive Assistant. The ideal candidate will be experienced in handling a wide range of administrative and executive support tasks and will be able to work independently with little or no supervision. This person must be exceedingly well organized, flexible, and enjoy the administrative challenges of supporting an executive team in a fast-paced environment.
Responsibilities:
- Manage executives' calendars, scheduling meetings and appointments while prioritizing urgent requests.
- Prepare and organize meeting materials, take minutes, and follow up on action items.
- Coordinate travel arrangements, including itineraries, accommodations, and transportation.
- Act as a liaison between executives and internal/external stakeholders, ensuring effective communication.
- Maintain confidentiality and manage sensitive information with discretion.
- Assist with project management and other special assignments as needed.
- Prepare reports, presentations, and correspondence for executive review.
- Monitor and manage office supplies and equipment, ensuring a well-organized workspace.
Job Requirements
Qualifications:
- Bachelor’s degree in Business Administration or a related field preferred.
- 3+ years of experience as an Executive Assistant or in a similar administrative role.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software.
- Strong organizational skills with the ability to multitask and prioritize effectively.
- Excellent verbal and written communication skills.
- Ability to work independently and collaboratively in a team environment.
- Discretion and professionalism in handling sensitive information.
