Job Summary:

The Office Manager plays a critical role in ensuring the smooth operation of our office environment. This role involves managing office supplies, coordinating administrative support, overseeing facilities, and ensuring that day-to-day activities are executed efficiently. The ideal candidate is organized, detail-oriented, and capable of managing multiple tasks in a fast-paced environment.

Key Responsibilities:

  1. Office Administration:

    • Oversee day-to-day office operations including managing office supplies and equipment.
    • Develop and implement office policies and procedures to ensure organizational effectiveness.
    • Coordinate office activities and operations to ensure efficiency and compliance with company policies.
    • Handle correspondence and communication, including phone calls, emails, and mail.
  2. Facilities Management:

    • Maintain a clean and organized office environment.
    • Coordinate with external vendors and service providers for office maintenance and repairs.
    • Manage office space and layout to optimize productivity and comfort.
  3. Administrative Support:

    • Provide administrative support to executives and staff, including scheduling meetings, managing calendars, and preparing documents.
    • Assist with onboarding and training of new employees.
    • Organize and maintain files and records in a confidential manner.
  4. Budget and Finance:

    • Manage office budget and expenditures, including ordering supplies and equipment.
    • Prepare and process invoices, purchase orders, and expense reports.
  5. Event Planning:

    • Coordinate and plan company events, meetings, and conferences.
    • Ensure all logistics are handled, including venue arrangements, catering, and technology needs.
  6. Human Resources Support:

    • Assist with HR functions such as maintaining employee records and managing leave requests.
    • Support employee engagement initiatives and office morale.

Job Requirements

Qualifications:

  • Education: Bachelor’s degree in Business Administration, Management, or a related field preferred.
  • Experience: Minimum of 3 years of experience in office management or a similar administrative role.
  • Skills:
    • Strong organizational and multitasking abilities.
    • Excellent written and verbal communication skills.
    • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and office management software.
    • Ability to handle confidential information with discretion.
    • Strong problem-solving skills and attention to detail.
