Job Description

JO# 20228 Global Financial Services Group - $216B AUM - 4500+ Employees - Midtown Manhattan
2nd EA to CEO - Will report to 1st EA
Base $100-125k + paid OT - Bonus eligible
Duties: Main duties will include heavy global travel and expenses. Manage and book point-to-point international and domestic travel - flights, (including private aviation - helicopters, charters, etc.) hotels, rental cars, ground transportation, using American Express Travel/Concur • Provide related information as needed in the format preferred (calendar, printed documents, etc.) - directions, alternative and back-up options, commuting time, time differences, etc. • Book travel and ground transportation as required and well in advance of planned travel • Monitor all travel once underway, ensuring availability to re-book, adjust as needed 
Expenses • Process and submit complex expense reports on a timely basis. Trouble shoot as needed for missing receipts from hotels, restaurants, etc. • Proficiency in Concur expected 
Provide backup assistance as needed to manage calendars and book meetings • Organize and schedule client and internal meetings/calls • Assist in document generation, research, correspondence • Provide back up support for all team members Phone coverage • Answer high volume/multiple phone lines • Take and relay messages accurately, respond as needed • Communicate clearly and represent the office with poise, professionalism, and discretion 
Hours/Benefits: Current requirements are Tue, Wed, Thu in office. Mon, Fri will switch off remote with 1st EA. Weekends and nights are expected to be on call for travel needs. Hours: TBD
17 days PTO, unlimited sick days, medical, dental, vision

Job Requirements

Requirements: Minimum of 5 - 7 years’ experience in a fast-paced environment, preferably in the financial services industry supporting a senior executive • Be available on weekends and nights, as needed, to ensure coordination of travel is managed with the highest level of care • Flexibility regarding in-office support. Technology – proficiency with Word, Excel, PowerPoint, Outlook and Concur
